Commercial Finance Coordinator

The Role:
The successful candidate will work closely with the Network and In Home commercial team to ensure efficient management of project budgets, cost control, and financial reporting. This role requires a dynamic professional with strong financial acumen, attention to detail, excellent communication skills and strong analytical capabilities.
Responsibilities:
Management of Projects
- Supporting division management teams in achieving budgets.
- Project performance monitoring and reporting variances against the project’s budget.
- Liaising with Quantity Surveyors on each Project to ensure that their Cost Value Reconciliations ‘CVR’ reports are reconciled against the original project’s budget.
- Reviewing the project budget on a continuous basis with the Project Directors ensuring that results are in line with the expected project profitability.
- Ensuring internal project controls are in place and operating effectively.
- Reviewing all in life contract claims, variations and risks.
Sub-contractor Administration
- Ensuring all necessary documentation is in place before commencement of works.
- Reviewing and tracking the sub contractors on a monthly basis in conjunction with the project teams.
- Liaising with the project teams and the Accounts Payable team in respect to payment schedules and monthly cashflow projections for sub-contractor payments.
- Monitoring payment and retention release dates and liaising with project teams in respect to scheduled settlement dates.
Financial analysis and reporting
- Supporting financial decision making with analysis.
- Reporting – key inputs to be supplied to finance team as per finance timelines.
- Reviewing and finalising monthly finance reports.
- Developing KPI and exception reporting for projects to provide better analysis to management and project teams to drive improvements.
- Reviewing monthly P&L with each project team.
- WIP/Debtors – reporting weekly on working capital by project.
- Revenue Assurance - auditing of revenue processes & systems to ensure all work completed is accurately invoiced and collected revenues reflect the invoiced amounts.
- Budgets/forecasting – completing annual budgets, quarterly forecasts and bi-monthly outlooks for all projects.
- Balances sheet management, understanding all associated project costs and liabilities and reconciling on a monthly basis and working collectively with the commercial and accounts team in trying to minimize both WIP & Debtor days on projects.
- Other ad hoc projects.
New Business Tenders & Contract Renewals
- Commercial management of contract tenders & renewals.
- Pricing – developing revenue & cost projections and building pricing model.
- Risk analysis – impact / probability assessment – as part of the contract pricing process.
- Tender / proposal development – liaising with Actavo Bid Director to produce any required documents, slides, etc for submission / presentation to clients.
- SDP process – supporting the SDP 1 / SDP 2 / SDP 3 process to ensure the contract is subject to the appropriate governance process within Actavo.
- Managing commercial contract negotiations with clients.
- Developing project timelines, project schedules, project milestones, cost profiles and margin estimates for each project awarded.
- Ongoing forecasting of project timelines, costs to completion and final contract position.
Requirements:
- Experience of working in a busy finance or commercial department in a construction company
- Strong knowledge and experience of contractual requirements
- Proficiency in all Microsoft Applications
- Strong team player
- Excellent interpersonal and communication skills required
- Strong commercial acumen
- Good organizational skills as ability to multitask on various projects at any one time will be required
- Confident self-starter
- ‘Can-do’ attitude with flexible approach to work
